The admin holds everything that makes the installation yours: your AI provider key, your WhatsApp credentials, your SMTP account and your Google connection, all encrypted in your own database; your departments, roles and people; your working days, hours and time zone; how often reminders go and when it gives up and escalates; and your name, mark and colour. Nothing on this list needs us.

Name them after how your business is actually divided. Add, rename or remove - a department holding open work is protected.

Your keys, encrypted in your database
Every credential you enter is encrypted with AES-256-GCM before it is written, using a key held only on your server. Once saved, a credential is masked everywhere it appears - the admin, the API, the logs - and there is no screen or endpoint that will show you a full secret back.
That is a mild inconvenience by design. It also has one consequence worth stating plainly: the encrypted database and its key must be backed up together. With one and not the other, the credentials cannot be recovered - not by you, and not by us.

Named after your business
Departments started as a fixed list in the code, which was fine for one dealership and useless for everybody else. They are now configuration: you name them after how your business is actually divided - "front of house" and "kitchen", or "recon", "parts" and "service".
They are also protected, because renaming a department is routine and losing work is not. Removing one that still holds open jobs is refused with a reason, and swapping one name for another is recognised as a rename, so the existing work moves with it.

Why my own API key rather than yours?
Three reasons: you pay cost rather than a marked-up subscription, your usage is never throttled by another buyer's, and nothing about your business passes through our account. It is the main reason the running cost is a few dollars a month.
Can I switch AI providers later?
Yes. OpenAI and Anthropic are both supported and the choice is a setting, so you can move if pricing or quality changes. Nothing in your data depends on which one you picked.
What if I lose the encryption key?
Then the stored credentials cannot be decrypted and you re-enter them - annoying, not fatal, since your jobs and people are not encrypted with it. The backup script takes the key and the database together so this does not come up.
Do I need a developer to change settings?
No. Everything on this page is a form in the admin. You need a developer only if you want to change the software itself, which you are entitled to do.
