From a demo to your team using it
Setup takes about a week of our time and a few hours of yours. The one part nobody controls is WhatsApp Business verification, which Meta takes one to two weeks over - so we start that on day one and do everything else while it runs.
Bosun is installed in your own hosting account, branded with your name and colour, and connected to your own WhatsApp Business number. You send us your team, your departments and whatever procedures you already have written down; we load them, test the assistant against real questions, and hand it over. Your staff then message the number the way they already message each other - there is nothing for them to install and no commands to learn.
- Our time
- About a week
- Your time
- A few hours, spread out
- Longest pole
- WhatsApp verification, 1-2 weeks
- Staff training
- None - they already use WhatsApp
- Where it runs
- Your own server
From demo to launch in four steps
No developer to hire and nothing to install yourself. We do the setup and the testing; you keep running the kitchen.
-
1
See it working
A live demo on real data, before you pay anything.
-
2
Send brand & details
Name, colour, your departments, your team, and the procedures you already have written down.
-
3
We set it up
Installed in your own accounts, your WhatsApp connected, templates submitted. Live in about a week.
-
4
Add your team
They message the number the way they always message. A year of support starts.
What actually happens in that week
-
1
Day 1 - WhatsApp started
We start your WhatsApp Business verification first, because Meta takes one to two weeks and nothing else depends on us to begin.
-
2
Day 1-2 - your server
Bosun is installed in your own hosting account, with your database and your encryption key. You hold the credentials.
-
3
Day 2-3 - your brand
Your name, mark and colour go in, along with your departments, your working hours and your reminder timings.
-
4
Day 3 - your team
Everyone's name, WhatsApp number, role and department. Only people on this list can talk to the assistant.
-
5
Day 3-4 - your procedures
Whatever you have written down is loaded and indexed. We test it with real questions your staff actually ask and show you the answers.
-
6
Day 4-5 - you try it
You use the simulator to send messages as each of your staff and watch what happens, before a single real message is sent.
-
7
When WhatsApp clears - live
Your number is connected, the two message templates are submitted, and your team starts using it. Support begins.
A first message, start to finish
- Staff sends a plan
- Three jobs created
- Assigned to
- The sender
- Deadlines
- Only where stated
- Owner sees it
- Immediately, on the dashboard
- If one goes overdue
- That person is reminded
- After three reminders
- The owner is told instead
What using it actually feels like
Nobody gets trained, because there is nothing to train. Your staff send a message to a number the way they already send messages to each other, and the assistant does the rest.
The first week is usually quieter than people expect. One or two people forget to send anything; the assistant asks them at the end of the day. Someone tries to close a job that is not theirs and is told no. Someone asks a question your procedures do not answer, and it says so honestly rather than inventing a rule - and that question appears on your dashboard as something worth writing down.
- Staff send a plan in the morning and an update at the end of the day, in their own words
- The owner asks for today's priorities and gets them in a message
- Overdue work is chased without anyone remembering to chase it
- Questions your procedures cannot answer collect in one list, which is usually the most useful thing you get in week one
Four things, and none of them are hard
Your brand
Business name, a logo if you have one, and a colour. If you do not have a logo, initials work fine and look deliberate.
Your team
Names, WhatsApp numbers, roles and departments. Fifteen minutes in a spreadsheet.
Your procedures
Anything already written: approval limits, standard processes, checklists. Word files and PDFs are fine. If there is nothing, say so - that is a real answer.
A WhatsApp number
One your team does not already use for personal chat. We handle the Business verification and the templates.
A hosting account
We will tell you exactly what to open and what it costs. It goes in your name, not ours.
Your working hours
When the assistant may message people, and when it must not. Changed any time in the admin.
On this page
Do I need a developer?
No. We do the setup, and everything you are likely to change afterwards - people, departments, working hours, reminder timings, procedures - is a form in the admin. Only new code needs us, and that is quoted as a fixed price before it starts.
What if my procedures are not written down?
Then the assistant will refuse to answer those questions and record them for you, which turns "we should write that down one day" into a specific, ranked list of what your staff actually ask. Many businesses start with three or four pages and grow from there.
Can we try it before connecting WhatsApp?
Yes, and you should. The dashboard has a simulator that lets you send messages as any member of your team and see exactly what the assistant does - no real messages, no cost. Most of the setup is tested that way before your number is live.
How long does WhatsApp verification really take?
Meta usually takes one to two weeks, and it is outside anybody's control. We start it on day one so it runs alongside everything else. If it drags, everything except the live number is already finished and waiting.
